Position Summary

The People Shared Services Specialist I serves as a first point of contact for associates and corporate employees seeking support with People-related questions, Workday transactions, policies, programs, and services.

This role manages a high volume of cases through Workday and other approved service channels. The Specialist delivers timely, accurate, professional, and empathetic support; resolves inquiries within established scope; documents actions clearly; and escalates complex, sensitive, or out-of-scope matters to the appropriate Tier 2 or Center of Excellence (COE) teams.

The ideal candidate is customer-focused, detail-oriented, comfortable using technology, and able to balance productivity, accuracy, confidentiality, and quality in a fast-paced service environment. This role is an excellent opportunity for someone who enjoys solving problems, helping others navigate People processes, and contributing to a positive associate experience.

Key Responsibilities

  • Receive, research, respond to, and resolve associate and employee inquiries through Workday Help Case Management and/or other approved support channels.

  • Manage a high-volume case queue while prioritizing work based on urgency, business impact, service-level commitments, and established procedures.

  • Provide clear, accurate, professional, and customer-focused written responses that address the individual's question and explain next steps when applicable.

  • Apply established policies, standard operating procedures, knowledge articles, process documentation, and system resources to resolve inquiries accurately and consistently.

  • Complete permitted Workday transactions and support requests within the role's defined scope, following established controls and approval requirements.

  • Take ownership of cases from intake through resolution whenever possible, ensuring appropriate follow-up and a positive support experience.

  • Identify when an inquiry requires escalation because of complexity, sensitivity, risk, policy interpretation, system issues, or work outside the Specialist's authorized scope.

  • Escalate cases to the appropriate Tier 2, COE, HRIS, Absence/Benefits, Payroll, Talent Acquisition, or other teams in accordance with defined escalation procedures.

  • Maintain complete, accurate, and timely case documentation, including the issue, research performed, actions taken, information provided, disposition, and escalation details.

  • Protect confidential associates, employees, and company information in accordance with company policies, privacy requirements, and data handling standards.

  • Meet established performance expectations related to case quality, productivity, response time, resolution time, schedule adherence, customer experience, and service level agreements (SLAs).

  • Participate in training, calibration sessions, team meetings, quality reviews, and knowledge-sharing activities to build proficiency in People processes, Workday functionality, and support tools.

  • Help to identify recurring questions, unclear processes, knowledge gaps, system issues, or opportunities to improve self-service and share observations with leadership.

  • Demonstrate flexibility as People processes, Workday functionality, business priorities, organizational structures, and service-delivery needs evolve.

Required Qualifications

  • High school diploma or equivalent.

  • 1+ years' experience using Workday & Workday Help Case Management.

  • 1+ years of experience in customer service, contact center operations, shared services, case management, help desk support, administrative support, retail operations, hospitality, HR support, or another high-volume service environment.

  • Strong written and verbal communication skills, with the ability to communicate clearly, professionally, and respectfully with individuals at all levels of the organization.

  • Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail, responsiveness, and accuracy.

  • Strong problem-solving and critical-thinking skills, including the ability to research available information, follow established processes, use sound judgment, and recognize when escalation is needed.

  • Ability to handle sensitive information with discretion and maintain a high degree of confidentiality.

  • Strong organizational and time management skills, with the ability to manage a case queue and follow through on commitments.

  • Proficiency with common business applications, including Microsoft Office or Google Workspace, and comfort learning new systems and technology.

  • A positive, helpful, and customer-focused approach, with the ability to demonstrate empathy and professionalism in every interaction.

Preferred Qualifications

  • Experience supporting HR, People Operations, Payroll, Benefits, Leave, Talent Acquisition, or employee relations processes.

  • Experience in a large, distributed, retail, hospitality, call-center, or multi-location organization.

  • Experience supporting associates or employees through phone, email, chat, case management, or other digital service channels.

  • Familiarity with service-level agreements, customer-service metrics, quality standards, or knowledge-management practices.

Common Interview Questions And Answers

1. HOW DO YOU PLAN YOUR DAY?

This is what this question poses: When do you focus and start working seriously? What are the hours you work optimally? Are you a night owl? A morning bird? Remote teams can be made up of people working on different shifts and around the world, so you won't necessarily be stuck in the 9-5 schedule if it's not for you...

2. HOW DO YOU USE THE DIFFERENT COMMUNICATION TOOLS IN DIFFERENT SITUATIONS?

When you're working on a remote team, there's no way to chat in the hallway between meetings or catch up on the latest project during an office carpool. Therefore, virtual communication will be absolutely essential to get your work done...

3. WHAT IS "WORKING REMOTE" REALLY FOR YOU?

Many people want to work remotely because of the flexibility it allows. You can work anywhere and at any time of the day...

4. WHAT DO YOU NEED IN YOUR PHYSICAL WORKSPACE TO SUCCEED IN YOUR WORK?

With this question, companies are looking to see what equipment they may need to provide you with and to verify how aware you are of what remote working could mean for you physically and logistically...

5. HOW DO YOU PROCESS INFORMATION?

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

Or you may receive even more specific questions, such as: What's on your calendar? Do you plan blocks of time to do certain types of work? Do you have an open calendar that everyone can see?...

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

8. HOW TO PRIORITIZE WORK?

The day I watched Marie Forleo's film separating the important from the urgent, my life changed. Not all remote jobs start fast, but most of them are...

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
