Job Description Job Description ACCUDATA & CO. is a CPA and advisory firm headquartered in Laguna Beach, CA, with offices in Manhattan Beach. We provide tax, accounting, and financial consulting services to individuals, businesses, and fiduciaries, with a mission to deliver high-quality service and build long-term client relationships. We are seeking an Assistant Tax Office Manager to manage client files, support communication, and ensure efficient, deadline-driven operations in our fast-paced CPA firm. Please note, this is a Part-time position. Key Responsibilities: Manage client files and workflow tracking for the tax department. Handle Accounts Receivable (A/R), including invoicing and collection of client payments. Oversee Accounts Payable (A/P) processing, ensuring timely vendor payments. Monitor deadlines to keep tax engagements moving smoothly. Assist with the Office Manager and provide administrative support for partners and tax professionals. Client & Tax File Management Organize and maintain client tax files across individual, business, fiduciary, and corporate accounts. Track key filing deadlines, extensions, and estimated tax payments. Request, collect, and scan client documents into firm systems (SmartVault, OfficeTools, etc.). Communicate with clients regarding missing or pending documents. Tax Return & Document Processing Input tax data into preparation software (Lacerte/ProSeries/UltraTax). Assemble client tax return packages for review and signature. Prepare and track e-file authorization forms. Monitor e-file transmissions and resolve rejections as needed. Qualifications: Proficiency in QuickBooks (required). Prior experience in A/R and A/P collections (required). Strong organizational and communication skills. Ability to manage multiple deadlines in a fast-paced environment. Compliance & Recordkeeping Ensure documents meet IRS, FTB, and state filing requirements. Maintain accurate records of all filed returns, payments, and notices. Prepare standard compliance letters and forms (e.g., IRS Form 2848 POA) Company Description We have a special niche in our industry. We specialized in Estate and Trust.
