Real Estate Transaction & Operations Assistant - Remote (Full-Time)

Pay: $8-12/hour + ($200 Admin Commission per closed deal)
Hours: 40 hours/week
Schedule: Full-time, Monday–Friday
Location: Remote
Industry: Real Estate Investment / Off-Market Acquisitions

About the Company

We are a growing real estate investment company that purchases and sells off-market properties nationwide. We are looking for a reliable, organized, detail-oriented Virtual Assistant to help manage our growing pipeline and day-to-day transaction operations.

This is a long-term position for someone who wants to grow with a company. The right person will eventually be given more responsibility as the company expands.

Responsibilities--

Deal & Pipeline Management:

Keep our CRM and deal pipeline completely up to date.
Track every property from contract through closing.
Follow up with sellers, buyers, realtors, title/closing companies, and other parties.
Monitor important deadlines and make sure nothing falls through the cracks.
Update deal notes, statuses, contact information, and next steps.
Notify management immediately when there is an issue, delay, or missing information.

Realtor & Closing Company Communication:

Communicate professionally with real estate agents regarding property showings, listings, offers, and transaction updates.
Communicate with title companies, attorneys, escrow officers, and closing companies.
Request and follow up on documents needed to move transactions forward.
Confirm closing timelines and outstanding requirements.
Follow up consistently without needing to be reminded.

Contractor Research & Coordination:

Find local contractors, handymen, inspectors, photographers, and other vendors.
Call or message contractors to request availability and pricing.
Help coordinate property repairs and access when necessary.

Administrative & Data Entry:

Enter and organize information in our CRM.
Update spreadsheets and deal trackers.
Upload and organize documents.
Research property information when requested.
Complete other administrative tasks related to our real estate business.

Reliable and consistent
Comfortable making phone calls
Able to communicate with U.S. businesses and professionals
Takes initiative without having to be constantly told what to do next.
Able to manage multiple deals simultaneously
Real estate experience is a plus but not required

Various title/closing company portals

Experience with CRM systems and real estate transaction management is a major plus.

What Success Looks Like:
You should be able to eventually take a deal after it goes under contract and keep track of the moving pieces without management having to constantly remind you what needs to happen.

Know what is happening with every active deal → know what needs to happen next → follow up with the right person → update the CRM → communicate any problems immediately.

Pay: $8.00 - $12.00 per hour

Expected hours: 40.0 per week
