We connect the dots between community and wellness offering something truly unique and healing for the way we connect, learn, and live our lives.

Our founder and CEO is seeking a Personal & Wellness Assistant. The center of this role is helping her stay supported, organized, and able to lead well. This includes researching and coordinating wellness needs, managing personal information and appointments, keeping priorities and follow through on track, and assisting with selected company matters. By taking care of these details, this role protects the founder’s time and energy and helps her focus on the company’s larger mission.

The Personal & Wellness Assistant is an established role that has been held successfully by two people who both remain with the company today.

We offer the chance to contribute to a scalable, global platform that is reimagining the power of social media and how people come together to live healthier lives. Our mission is bold, ambitious, and unwaveringly dedicated to ethically address how wellness is found.

We foster a work culture based on openness, communication, and integrity. Our team is highly collaborative and dedicated to holistic wellness. You’ll have a chance to work in a fast-paced setting as we prepare to launch and be in an environment where you can make an immediate impact.

Wholosophy is a for-profit, Public Benefit Corporation.

Please Note:

Your answers to our application questions below matter a great deal to us and are the first thing we review. Only candidates who answer each question thoughtfully will be considered.

The Role The Personal & Wellness Assistant serves as a trusted right hand to the CEO. The role combines personal assistance, wellness research and coordination, project tracking, accountability support, and selected company support. While centered on the CEO, the position also works with team members to organize information, track decisions, and follow up on commitments.

The ideal candidate is exceptionally organized, proactive, emotionally intelligent, discreet, and comfortable working with a founder whose priorities may move quickly. This person can hold the thread when ideas are evolving, help organize complex or still-forming thoughts, notice what needs attention, and turn conversations into clear next steps.

They will take ownership of many commitments directly, keep others visible and moving, and help ensure that important information, decisions, and follow through do not get lost.

Founder Support & Coordination

  • Maintain a clear, current dashboard of the founder’s personal, wellness, and company-facing priorities.
  • Track decisions that need to be made, the information needed to make them, commitments, deadlines, next steps, and outstanding follow-up.
  • Capture action items from meetings and conversations and help move them forward until they are completed, consciously deferred, or handed to the right person.
  • Create concise, distilled, and attractive spreadsheets, rollups, briefings, and reference documents that the CEO can understand quickly.
  • Participate in twice-weekly check-ins with the CEO to review progress, surface anything that is stuck, and protect her time and energy for the work that most needs her.
  • Provide selected administrative and project-coordination support related directly to the CEO’s priorities and effectiveness.
Personal & Wellness Coordination
  • Research, schedule, and coordinate medical, dental, wellness, and personal services as needs arise.
  • Maintain organized records of supplement protocols, conventional and functional lab results, practitioner information, appointments, recommendations, and related wellness materials.
  • Handle occasional personal research, logistics, appointments, or household-related coordination as priorities arise.
  • Research local practitioners, resources, services, products, nutrition options, exercise resources, and wellness events relevant to the CEO’s current priorities.
  • Additional research may include topics such as women’s health, vitality, natural remedies, sleep, functional and naturopathic medicine, holistic treatments, healthy routines, spiritual or meditative practices, gut health, longevity, nutrition, exercise, and product research.
Follow-Through & Accountability
  • Keep personal goals, commitments, deadlines, outstanding items, and next actions visible and current.
  • Create simple systems that make follow-through easier without adding unnecessary process or complexity.
  • Help separate what truly requires the CEO’s attention from what can be organized, researched, delegated, or resolved elsewhere.
What Success Looks Like
  • The CEO is carrying fewer deadlines, decisions, details, and loose threads in her own head.
  • Personal and wellness matters are organized and handled before they become urgent.
  • Research arrives concise, sourced, and ready to use—not as a large pile of information the CEO must sort through herself.
  • Decisions, commitments, and follow-up items remain visible and continue moving.
  • The assistant becomes a trusted source of clarity, continuity, and practical support while handling sensitive information with care.
Required Qualifications
  • Experience supporting a founder, executive, or other high-responsibility individual in a personal, administrative, research, project-coordination, or operational capacity.
  • Clear, concise written communication and the ability to create simple, readable rollups, dashboards, and summaries.
  • Exceptionally organized with very strong attention to detail.
  • High emotional intelligence, perceptive interpersonal skills, strong listening ability, and sound judgment.
  • Clear integrity, ethical behavior, discretion, and a kind, thoughtful nature.
  • Complete comfort handling confidential personal, health, financial, and company information.
  • Comfort working in a fast-changing environment where every process may not already be fully defined. Must be able to anticipate needs without direction.
  • Strong proficiency in Google Workspace and Microsoft Office, with the ability to learn project-management, research, and organizational tools as needed.
