Capital Live Scan is seeking an experienced part-time Accounting Manager or Controller to own our monthly accounting, customer invoicing, reconciliations, and financial reporting.
We are one legal entity with approximately 33 operating locations. This role will transition responsibilities currently handled through a fractional CFO and outsourced accounting arrangement. Our accounting, billing, and month-end processes are substantially documented, and historical workpapers and system access will be provided.
We are looking for someone who enjoys bringing structure to complexity, improving processes, and taking full ownership of accurate and timely accounting.
Responsibilities:
Maintain accurate accrual-basis books in QuickBooks Online.
Own the monthly close and deliver financial statements by the 10th–15th.
Reconcile bank accounts, credit cards, accounts receivable, unbilled revenue, accrued expenses, payroll-related accounts, and government-fee liabilities.
Prepare and send customer invoices using transaction reports, customer pricing, and supporting data.
Apply customer payments and resolve billing discrepancies.
Prepare monthly income statement, balance sheet, and statement of cash flows.
Provide month-over-month, year-over-year, and location-level reporting.
Maintain clear monthly close and reconciliation workpapers.
Review existing processes, identify risks or inefficiencies, and implement practical improvements.
Required Qualifications:
Bachelor’s degree in accounting.
At least 5–7 years of progressive accounting experience.
Prior experience as an Accounting Manager, Assistant Controller, or Controller.
Strong accrual-accounting and month-end-close experience.
Advanced QuickBooks Online and Excel skills.
Experience with high-volume customer billing and complex reconciliations.
Ability to work independently and take ownership of deadlines and accuracy.
Professional Qualities:
High integrity, sound judgment, and discretion with confidential financial information.
Self-directed, dependable, and highly accountable.
Strong problem-solving skills and the ability to communicate issues early.
Comfortable managing complex processes and improving inefficient workflows.
Able to create clear, repeatable procedures rather than relying on undocumented knowledge.
Experience with ADP, Square, Transaction Pro, Microsoft Access, or multi-location businesses is preferred. CPA certification is preferred but not required.
This is an ongoing remote engagement expected to require approximately 30–45 hours per month.
Please include your hourly rate, availability, relevant QuickBooks Online experience, and examples of similar accounting, billing, or monthly-close work.
